The majority of screens in Opex allow you to download the data displayed into excel. 


To download data click on the Actions button then click Download Items in CSV format.





Alternatively there may be buttons that refer to 'Download to spreadsheet' or 'Download Stocktake' etc.




After you have clicked a Download button a pop up box will appear. Depending on the internet browser that you are using, the box will either be in the middle of the screen or at the bottom of the screen if you are using IE.




Click the drop down to the right of Save and select Save as




Save the CSV file to a folder on your local drive or shared drive. You can change the name of the file at this point.


Open up Excel and go to File > Open


Go to the folder where you saved the file. You will see all of the .xls files. To find the csv file click the file type drop down then select All files.




You will then see the csv file.




Click on the file name then click Open.


Because you are trying to open a csv file via excel you will need to convert it.


A Text Import Wizard will appear.


On Step 1 click Next




On Step 2 click the tick box next to Comma and ensure the Text qualifier box is displaying "


Then click Next




On Step 3 you need to change the data format of the columns.


This is very important otherwise excel will try and convert the data into what it thinks is right which may not be correct.


For example you may have a size of boots of 3/36. Excel will think the field is a date field and convert it to Mar-36 as shown in the scrren shot below.




Also the alignment of the data in the columns may not be correct. In the screen shot below the alignment of the Size column is a mismatch of left and right aligned. The Size column should be left justified.




It is advisable to change the Column data format for any reports that contain the Item code and Size code fields.


To change the format click on the column (in the screen shot below the column selected is Item Code) then select the Column data format 'Text'.




Repeat for the Size column.


By changing the data format it will ensure that when the csv file is converted the data will not be changed.


Click Finish.


The data will then be converted into excel.




Finally remember to save the file. Go to File > Save.
