From version 1.7.0 it is possible to do an adhoc stocktake based on a random choice of stock items/sizes/warehouses.



Go to Stock > Stocktake


Click New and enter a description for your stocktake ie January 2017 then click OK.


A grid will appear in the lower half of the screen that will list all of the stock items and sizes in all of the warehouses.


Click the Generate Random button.






Enter the following infiormation:


Number of Lines - this is the number of stock items or stock item/size/warehouse records that you want to count. The number will default to 50 but can be changed.


Warehouse - enter the warehouse that you want to count.


Items Last Counted Before - this is the date the selection process will use to determine whether a stock item/size/warehouse has already been counted. The date in the screen shot above is 31/01/2016 so only items that have not been counted since this date will be used in the selection process. The date will default to one year from today's date. It can be changed by clicking on the calendar.


Exclude Current Counts - If you tick this box it will exclude any Item/Size/Warehouse records that are already in another stocktake list. This means that you can generate a stocktake list per person with assurance that there will be no duplicates.


Include All Sizes - If ticked all sizes for an item will be selected, assuming they meet the other criteria. Please note if you have put 50 in the number of lines field you may end up with many more lines to count as the system will list 50 stock items including all of the sizes for each stock item. If you do not tick the box only 50 items/size records will appear in the table for you to count.


Include On Stop Items - tick the box if you want to include On Stop stock items in the selection process.


Use ABC - If you want the selection process to use the ABC classifications tick this box. More information on how to set up ABC Classifications can be found by clicking on the link below:

ABC Criteria - If you tick the ABC Option you need to select one of the ABC criteria:


- Volume - the allocated quantity on the requisition line

- Cost - the cost of the requisition line 

- Transactions - the number of lines 


Percentage of A to Include - 'A' is the top level of ABC classification. This will default to 70% meaning that from the item/size/warehouse records generated for counting, 70% of them will have a clasiification of A.


Percentage of C to Include - 'C' is the bottom level of ABC classification. This will default to 10% meaning that from the item/size/warehouse records generated for counting, 10% of them will have a clasiification of C. 


Therefore the remaining 20% will be the 'B' classifications.


Click Ok.


If you are happy with the selection of items/sizes in the stocktake table click FInalise Items. If you realise you have incorrectly generated the list click the Generate Random button and start again.
